What the brief was

Swale Academies Trust (SAT), a Multi-Academy Trust with ten schools, wanted to implement a single pupil assessment and tracking system across all schools. The Trust required a solution that could support both school-level and Trust-level reporting while remaining affordable and easy to implement across multiple schools.

The Trust wanted to ensure that any system adopted would provide long-term value and demonstrate clear benefits before committing to a contract.

When the project was delivered

Swale Academies Trust began working with Insight in July 2024 through an extended trial period. Following successful implementation and evaluation, the Trust subscribed to Insight for an initial three-year period.

What we delivered

Insight provided a Trust-wide assessment and reporting platform used by all ten schools within the Trust.

To support the Trust in evaluating the system and ensuring it met their requirements, we agreed to extend our standard 60-day trial to a 10-month trial period. This allowed SAT to test Insight across multiple academic cycles and confirm that the system met the needs of both schools and Trust leadership before making a financial commitment.

As part of onboarding, our team worked with the Trust Lead to configure the system so that assessment terminology and reporting aligned with the Trust’s existing assessment policy. This ensured consistency across all schools from the outset.

The Trust also received the MAT-level dashboard, enabling Trust administrators to view and analyse data across all schools while still allowing schools to manage their own data locally.

In addition, the Trust made use of Insight’s unlimited training and expert data consultation, helping the Trust Lead implement the system effectively across all schools.

How our approach delivered value for money

Insight’s pricing model is designed to remain predictable and affordable for schools and trusts. The system costs £4.50 per pupil, with a price cap of £2,250 per school for larger schools, ensuring costs remain manageable regardless of school size.

Importantly, Insight does not charge per user, meaning schools and Trusts can provide access to all relevant staff — including teachers, senior leaders and governors — without increasing costs. This enables wider use of the system while maintaining a simple and transparent pricing structure.

By committing to a three-year agreement, Swale Academies Trust also accessed a 15% multi-year discount, providing a cash saving of over £2,500 per year across the Trust.

The extended trial period further reduced financial risk, allowing the Trust to make a fully informed decision based on real use across their schools before committing to a subscription.

Benefits to the client

The system has delivered operational efficiencies across the Trust, particularly during statutory assessment reporting.
